How we obtain the information and why we have it
Most of the personal information we process is provided to us directly by you for the purpose of providing a Fatigue and Wellbeing Coaching service. Personal data is mainly collected via our website, by phone and by email. However, you may choose to send some information via text or WhatsApp messages.
Communicating With You:
If agreed, I will correspond with you by the means of email, phone, text, or WhatsApp messages. We each agree to accept the risks of using email including but not limited to the risk of viruses, interception and unauthorised access.
Cookies and similar technologies
Jo Thomas Coaching’s website is powered by Go Daddy Website Builder, which uses cookies and similar technologies to track your browsing behaviour, such as links clicked and pages viewed. For further information please visit Go Daddy’s Cookie Policy.
The ‘Contact Me’ form on the jothomascoaching.com website is protected by reCAPTCHA and the Google Privacy Policy and their terms of service apply. Additionally, this form can be used to sign up for our email list for updates, promotions and notifications of new blog posts.
Facebook, Instagram, LinkedIn and NCIP – if visiting these sites, you are subject to their privacy policies and policies regarding data protection. Jo Thomas Coaching bear no responsibility for the content of third parties, nor how they use your data.

What we do with the information we have
We use the information that you have given us in order to provide a Fatigue and Wellbeing Coaching service.
Your personal information will not be shared with any other third parties, that have not been detailed in this policy. All personal information will be treated in the strictest of confidence. Your personal information will not be shared for marketing purposes.
Jo Thomas Coaching will keep a record of how your consent was gained and any signed copies of your coaching agreement form. Jo Thomas Coaching will also keep confidential notes from your coaching sessions, be it 1-to-1 coaching or group coaching.
In group coaching sessions, a video recording is made of the live sessions, which is available for attendant’s to access up to 3 months after the live session.
Protecting your confidentiality is a priority to Jo Thomas Coaching. If you would like Jo Thomas Coaching to send any information to a third party such as a Doctor or Healthcare Professional, please request this in writing. However, there may be some situations when I have to disclose your confidential information; when required by law or by a regulatory body and when I believe there is a serious risk of harm to you or others.
You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
How we store your information
Your electronic information is stored securely on a password protected computers or secure cloud storage.
Any paper notes made during your coaching sessions will be converted to electronic notes and then paper copies shredded.
We keep your personal information for 5 years for notes and 7 years for accounts, from the point we terminate our coaching relationship. After this point, all electronic files will be deleted, including those stored in secure cloud.

Any requests received by phone will also require an email confirmation before the request can be processed.
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing- You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing- You have the the right to object to the processing of your personal data in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Notes on testimonials: Jo Thomas Coaching may contact you to politely request a client testimonial. There is no obligation to provide one. A decision not to complete a testimonial will not affect the coaching service you receive. Testimonials will only be used in advertising with your consent. This includes advertising on the internet (website and social media) and paper publications (posters and flyers). The Advertising Standards Authority (ASA) may contact you to verify the authenticity of the testimonial provided. Your contact information will be kept as long as your testimonial is in use for advertising purposes.
If at any point in the future you change your mind about having your testimonial used for advertising purposes, please contact Jo Thomas Coaching (jo@jothomascoaching.com) so your testimonial can be removed from website, social media and not be used in future paper publications. Please note if the testimonial has been shared by others on social media, Jo Thomas Coaching can not delete the testimonial from other people’s accounts. Please also be aware that the testimonial could have a digital blueprint, which Jo Thomas Coaching cannot erase. In advertisements, your first name and location will be used only.
